Reception/Administration Apprentice

Starting Off are working with this busy and forward- thinking surgery, to assist with the recruitment and training for a Business Administration apprentice. The key purpose of the role is to ensure the smooth running of the practice and reception service, promoting high practice standards of customer service. To provide a point of contact for patients, act as a focal point of communication between patients, doctors and other members of the primary health care team.

Address: Northampton, NN3

Hours: 8.30am – 5.00pm (1-hour lunch). Monday – Friday. 37.5 hours per week.

Salary: £170 per week

Benefits: 20 days + bank holidays. Restrictions related to booking time off over Christmas period.

Reduced rates for trilogy gym membership.

Reception Duties:

1. To communicate with patients, visitors and colleagues in a calm and effective manner.

2. Ensure the efficient running of the practice appointment system, monitoring the flow of patients into consulting and treatment rooms.

3. Ensure patients without appointments but who need urgent consultations are seen in a logical and non-disruptive manner.

4. Explain the practice arrangements and form requirements to new patients and those seeking temporary cover, ensuring procedures are completed.

5. Advise patients of relevant charges for private services, accept payment and issue receipts for same.

6. Respond to queries and requests for assistance from patients and other visitors.

7. Ensure the reception and waiting areas are kept neat and tidy.

Telephone Duties:

8. To ensure that the telephone system is operational at the beginning of each day and that the night service is in operation from when the surgery closes.

9. To answer all calls promptly and courteously.

10. To be familiar with all the appointment systems in operation, including regular and incidental variations.

11. To book patient appointments with the GPs, Registrars, practice nurses and receptionist clinics according to practice policies and protocols.

12. Ensure that accurate messages are taken for all the primary health care team.

13. Enter requests for home visits on the computer, including all relevant information and where necessary refer to the duty doctor.

14. To print encounter forms for the visiting doctor.

15. Action requests for ambulance transport and enter details onto computer and in patient records.
